Overview

Your dashboard and how to read it.

OverviewDashboard: Dashboard, top of the page

Staff dashboard

Your home page. It is built around the cleaning checks you complete, with repairs and the resident list close by.

How to do it

  1. The header shows Welcome with your name, the date and two counters: Residents and Vacant Rooms.
  2. The Residents container lets you look up who is in which room.
  3. The Night Cleaning container shows how many floors are done tonight, for example 1 of 3 floors done, or Done Today when every floor is complete.
  4. The Daily and Weekly Clinic Room Cleaning containers list each floor as Not started, In progress or done.
  5. The Repairs container lets you report a fault and shows how many are pending.

What you will see

  • ✓Floors come from your home's own set-up: Ground, First, Second and so on
  • ✓A saved check shows a green tick on its floor
  • ✓A floor you started but did not finish shows In progress
Good to know: After you save a clinic room check you return to the dashboard with a green message confirming which floor was saved.

Night cleaning

One checklist per floor, every night.

Night cleaningDashboard: Night Cleaning container, Night Cleaning Checks

Night cleaning checks

The nightly cleaning checklist. You complete it once for every floor, so a home with three floors has three checklists to finish each night.

How to do it

  1. Open Night Cleaning Checks. You land on the list of Floors, each marked Not started, In progress or done.
  2. Tap a floor to open its checklist. The page shows the floor name and the date.
  3. Tick each of the 14 cleaning tasks as you complete it. Select All / Deselect All ticks the lot in one tap, so use it only once everything really is done.
  4. Add anything worth reporting in Additional Comments (optional), for example a spill that would not clear or a missing supply.
  5. Tap Save for that floor. You return to the floor list with a green confirmation.
  6. Repeat for each remaining floor. The dashboard changes to Done Today once every floor is saved.
  7. If any task is not ticked you get an Incomplete Checklist box showing how many are left. Choose Go Back & Complete, or Submit Anyway if the job genuinely could not be finished and you have said why in the comments.

The 14 tasks

  • ✓Corridors swept and mopped
  • ✓Stairwells cleaned
  • ✓Communal toilets cleaned and restocked
  • ✓Kitchen surfaces wiped and sanitised
  • ✓Dining area cleaned and tables wiped
  • ✓Lounge areas tidied and vacuumed
  • ✓All bins emptied and relined
  • ✓Spills and marks cleaned up
  • ✓Door handles and light switches sanitised
  • ✓Laundry area tidied
  • ✓Reception area cleaned
  • ✓Emergency exits checked and clear
  • ✓Bathroom floors mopped
  • ✓Handrails wiped down
Watch out: Only tick what you have actually cleaned. The record is a legal log, and Submit Anyway exists so that an honest gap is recorded, not hidden.
Good to know: If you open a floor that has already been saved, the page warns that submitting again will update the existing entry. Nothing is duplicated.

Recording a missed night

If the night's checklist could not be entered on the night itself, you can record it afterwards for the right date.

How to do it

  1. On the floor list, use the Date box and tap Change Date. You cannot choose a date in the future.
  2. A notice appears: Recording for a past date. Entries will be saved for that date.
  3. Open a floor, tick the tasks and save, exactly as you would on the night.
Good to know: Use this only for a clean you really carried out on that date. If it was not done, leave the day empty and tell your manager.
Night cleaningDashboard: Night Cleaning container, View History

Night cleaning history

Look back at any previous night's checks, for yourself or to answer a question from your manager or an inspector.

How to do it

  1. Tap View History in the Night Cleaning container.
  2. Use Filter Logs to pick a Date or a Month.
  3. The list shows each record with its floor, for example Night Cleaning - First Floor, and the number of records found.
  4. Open one to see the ticked tasks and any comments that were written.

Clinic room cleaning

Daily and weekly checks for each floor's clinic room.

Clinic roomDashboard: Daily Clinic Room Cleaning container

Daily clinic room cleaning

A short daily checklist for each floor's clinic room, taken from the home's OP16 cleaning schedule. It is locked to today, so it cannot be backdated.

How to do it

  1. In the Daily Clinic Room Cleaning container, tap a floor. The page shows that floor and today's date.
  2. Tick each of the 6 tasks as you do it. Select All / Deselect All is there if every one is complete.
  3. Add comments if needed, then save. You return to the dashboard with [Floor] clinic room check saved successfully.
  4. Saving a floor again on the same day updates that day's record.

The 6 tasks

  • ✓Key handover (morning): medication keys signed for
  • ✓Key handover (night): medication keys signed for
  • ✓Empty waste bin, wipe with disinfectant and replace liner
  • ✓Wipe door handle and light switch with disinfectant
  • ✓Wipe sink, taps, plug and work surface with disinfectant
  • ✓Sweep and mop floor area with disinfectant
Good to know: The container carries a Today label, and each floor shows how many of the six tasks are done.
Clinic roomDashboard: Weekly Clinic Room Cleaning container

Weekly clinic room cleaning

The deeper weekly clean and stock check for each clinic room, once per floor per week. The week runs Monday to Sunday and the container shows Week commencing with the Monday date.

How to do it

  1. In the Weekly Clinic Room Cleaning container, tap a floor.
  2. Tick each of the 9 weekly tasks as you complete it.
  3. Add comments if needed, then save. A floor shows Not done, In progress or done for the current week.
  4. A new week starts every Monday, so every floor shows Not done again.

The 9 tasks

  • ✓Drug fridge: clean and check expiry dates
  • ✓Trolley 1: empty, clean with disinfectant and replace

  • ✓CD cupboard: empty, clean with disinfectant and replace
  • ✓All cupboards: check stock is for current use
  • ✓Signature list: check it is up to date with all staff
Watch out: Controlled drugs must be counted, not assumed. Tick that task only once the count is done and recorded in the CD register.

Repairs

Report faults and see how they are getting on.

RepairsDashboard: Repairs container, Report a Repair

Reporting a repair

See something broken? Report it so the maintenance team can pick it up.

How to do it

  1. Tap Report a Repair in the Repairs container.
  2. The Report Date is filled in. Enter your full name.
  3. Describe the problem in Description. Include the location (room number, area, floor), what is broken or not working, any safety concerns, and any other relevant details.
  4. Submit the request. It appears as Pending for the maintenance team.
Watch out: For a life-threatening emergency such as fire, gas leak or major flood, call 999 first. For urgent safety issues in working hours, speak to the maintenance team directly as well as submitting the form.
Good to know: The more detail you give, the faster it is fixed. "Room 12 bathroom light flickers and buzzes" beats "light broken".
RepairsDashboard: Repairs container, View Repairs

Checking a repair

Follow what happened to the faults you reported.

How to do it

  1. Tap View Repairs. The list opens on Pending.
  2. Switch between Pending, In Progress and Completed, or use the search box.
  3. Open a repair to see the description, who reported it, any notes from maintenance and, once done, the completed date.
Good to know: This list is view only for staff. The maintenance team change the status and add notes.

ResidentsDashboard: Residents container, View All Residents

How to do it

  2. Type a name or room number in Search by name or room.
  3. The counters on the dashboard show how many rooms are Occupied and how many are Vacant.
Good to know: Names and rooms are managed by your manager and the maintenance team. If one is wrong, tell them.

Rules to remember

Tick it only once it is done

The record is a legal log. Be honest about gaps.

Every floor, every night

The dashboard says Done Today only when all floors are saved.

Faults go to Repairs

A comment on a checklist is not a repair request.

Emergencies

Fire, gas leak, major flood or injury: call 999 first.

Questions

I did not finish every task. Can I still save?+

Yes. The Incomplete Checklist box shows how many are left. Choose Submit Anyway only if the job truly could not be done, and say why in the comments. Otherwise tap Go Back & Complete.

I saved a floor by mistake. What now?+

Open that floor again and correct it. The page says submitting again updates the existing entry, so nothing is duplicated.

The dashboard still says "2 of 3 floors done".+

One floor has not been saved yet. Open Night Cleaning Checks and look for the floor marked Not started or In progress.

I forgot to enter last night's clean.+

Use the Date box on the night cleaning floor list to record it for that date, but only if the clean really happened. Tell your manager either way.

Can I enter yesterday's clinic room check?+

No. The clinic room checks are always for today, so they cannot be backdated. Weekly checks always count towards the current week.

Why can't I change a repair's status?+

Staff have a view-only list. The maintenance team update the status and add notes as the job progresses.

Where is the first aid guide?+

It is on the manager and maintenance dashboards. In an emergency, call 999 first.

Something is wrong with a resident name or room.+

Tell your manager. They and the maintenance team keep the resident list.
