A typical month

  • Glance at Compliance through the month
  • Keep residents and users up to date
  • Follow open repairs
  • After the month ends, sign off each department

What you do not do

  • You do not complete the daily or weekly logs, the departments do
  • You do not change a repair's status, maintenance does
  • You do not backdate missing checks

Overview

The first things you see, and how to read them.

OverviewDashboard: Shown once each time you sign in

Welcome page

The first screen after you sign in: a greeting and a quick picture of how the home's maintenance checks are going this period.

How to do it

  1. Read the big figure: Maintenance checks completed, for example 41/48, with a progress bar.
  2. If everything required is done it says All required checks are complete. Otherwise it tells you how many are still outstanding.
  3. Checks are grouped by Daily, Weekly, Monthly and Quarterly, with separate counts for Bedrooms and Other Rooms.
  4. Tap Continue to dashboard.
Good to know: It uses the same counting as the maintenance team's own welcome page, so the figures agree.
OverviewDashboard: Dashboard, top of the page

Manager dashboard

Your home page. It shows the state of the home at a glance and links to everything you manage.

How to do it

  1. The header shows your name and today's date. Tap the Week chip to see every week number for the year.
  2. The four counters give you the picture: Residents, Vacant Rooms, Active Repairs and Fire Locations.
  3. Below are containers for Residents, Repairs, User Management, Access Departments, Monthly Sign-Off, Manager Reminders and First Aid.
  4. The blue Compliance button opens the year view.

What you will see

  • ✓Residents (occupied / vacant)
  • ✓Vacant rooms
  • ✓Active repairs (pending and in progress)
  • ✓Fire safety equipment locations
Good to know: If a reminder is due today, a Reminders for Today box opens first. Tap Got It to clear it.
OverviewDashboard: Compliance button on the dashboard

Compliance

Shows how up to date a department is across the year. Use it before you sign off, so there are no surprises.

How to do it

  1. Open Compliance and choose the year.
  2. The summary cards show daily checks, weeks, months and quarters compliant.
  3. Below are tables for daily, weekly, monthly and quarterly checks, with each period marked complete, incomplete or on leave.
  4. Counting rules are the same ones the monthly sign-off uses, so what you see here is what sign-off will check.

How it counts

  • ✓Daily checks count Monday to Friday for maintenance
  • ✓Weekly checks count one record per ISO week
  • ✓Monthly checks need at least one record a month
  • ✓Quarterly checks need at least one record a quarter
  • ✓Recorded leave is excused and shown as on leave
OverviewDashboard: First Aid container

First aid

The first aid guide for CPR, DR ABC and emergency procedures is one tap away.

How to do it

  1. Tap First Aid Guide for the step-by-step reference.
  2. In an emergency, call 999 immediately.

Monthly sign-off

Your formal monthly confirmation, and the record of it.

MonthlyDashboard: Monthly Sign-Off container

Monthly sign-off

Your formal monthly confirmation that each department's logs are complete. It is the most important task you do in the app.

How to do it

  1. Open the Monthly Sign-Off container. Select Month and confirm the Signing off for banner shows the right month.
  2. Tick the departments you are signing off: Maintenance, Housekeeping, Kitchen. Your ticks are remembered on this device until you submit.
  3. Tap Submit Monthly Sign-Off. The app checks every selected department's logs for the month.
  4. Everything complete: a Confirm Sign-Off box appears. If any leave was recorded it lists the dates that were excused. Tap Confirm Sign-Off and it is recorded with your name, date and time.
  5. Something outstanding: an Outstanding Compliance Checks box lists each missing log, grouped by department, with a Copy button per department so you can send the list to the right team.
  6. To sign off anyway, tick the acknowledgement, write your findings (why it was not up to date and what is being done) and tap the sign-off button. It is recorded as an exception with your name, date, time and findings.

The rules

  • ✓Only after the month has ended. Before that you get a message saying when sign-off opens
  • ✓Departments already signed off are left unchanged
  • ✓Departments already countersigned by Regional are locked
Watch out: Do not create backdated entries for checks that were not carried out. Recording a check as done when it was not can amount to falsification of records and a breach of CQC regulations. Use the exception route and write down what went wrong.
Good to know: Regional then countersigns each department. Their countersign appears alongside yours in the history.
MonthlyDashboard: Monthly Sign-Off, View Signoff History

Sign-off history

The audit trail for every sign-off, kept for inspections and for your own reference.

How to do it

  1. Tap View Signoff History at the bottom of the Monthly Sign-Off container.
  2. Each month and department shows who signed as Manager, the date and time, and any notes.
  3. Under that, Regional shows their countersignature, or Not signed off if it is still waiting.
  4. A month shows Both Signed once manager and regional have both signed.

People & rooms

Residents and staff accounts for your home.

People & roomsDashboard: Residents container

Residents

Keeps the list of residents and which room each is in. The names appear in the maintenance team's bedroom inspections.

How to do it

  1. Add Resident: choose the room number, enter the resident's name and save.
  2. The Room Occupancy Overview on that page shows how many of the 66 rooms are occupied and how many are available.
  3. View All Residents lists everyone. Use Search to find a name or room.
  4. Use Edit to change a room or name, or Remove when a resident leaves (you are asked to confirm).
Good to know: The dashboard counters for Residents and Vacant Rooms update straight away.
People & roomsDashboard: User Management container

User management

Create and manage the staff accounts for your home. Each person signs in with a username and a 4-digit PIN.

How to do it

  1. Open Manage Users. The top shows total users, active users, departments and staff.
  2. Tap Add User. Enter the username.
  3. Choose the 4-digit PIN: Enter Manually or Generate Auto.
  4. Choose the department: Manager, Maintenance, Housekeeping, Kitchen or View Only. Save with Create User.
  5. To change someone, tap Edit: you can change the username, PIN and department. Remove an account with Delete.

The rules

  • ✓Each PIN must be exactly 4 digits
  • ✓Each PIN must be unique across the system, so the app rejects one already in use
  • ✓You cannot delete your own account
  • ✓Regional accounts are not shown in your list
Good to know: The container on the dashboard shows how many users each department has.

Repairs & reminders

Report faults, track them, and keep your own reminders.

Repairs & remindersDashboard: Repairs container

Repairs

Report faults and keep an eye on them. Maintenance does the work and updates the status.

How to do it

  1. New Repair Request: describe the fault with as much detail as you can. The date and your name are filled in.
  2. The container shows Pending (awaiting assignment) and In Progress (being worked on) counts.
  3. View All Repairs: filter by Pending, In Progress or Completed, or search.
  4. Each repair shows who reported it, the description, any notes, and when it was completed.
Watch out: For a life-threatening emergency such as fire, gas leak or major flood, call 999 first.
Good to know: Your view of repairs is view only. The maintenance team updates the status and adds notes as the job moves on.
Repairs & remindersDashboard: Manager Reminders container

Manager reminders

Your own prompts for things that are not part of the standard checks, such as a contractor visit or a monthly review.

How to do it

  1. Create Reminder: enter a title and an optional description.
  2. Choose the frequency: One-off, Daily (choose which days), Weekly or Monthly.
  3. Choose the date it should start showing, then save.
  4. On the day it is due, a Reminders for Today box pops up on your dashboard. Tap Got It to dismiss it.
  5. View Reminders lists all of them, active or inactive. You can delete one (you are asked to confirm).
Good to know: One-off reminders are deleted automatically once you dismiss them.

Reviewing departments

Read-only access to what maintenance, housekeeping and kitchen have recorded.

ReviewDashboard: Access Departments container

Access departments

Look through the records of the three departments without needing their logins. Everything here is for reviewing.

How to do it

  1. Maintenance (blue): grouped by Daily, Weekly, Monthly, Quarterly and other records such as PAT testing, fire drills, fire incidents, fire safety equipment and service management.
  2. Housekeeping (green): daily, weekly and monthly cleaning logs, mop cleaning, the dryer filter log and an all-logs history with filters.
  3. Kitchen (amber): opening and closing checks, daily and weekly cleaning, goods received, fridge and freezer temperatures, dishwasher, food preparation, cook and chill, satellite cleaning, probe accuracy and the four-week review.
  4. Open any record type to see the history, and use the filters on the page to find a date or person.
Good to know: In Maintenance there is also an Airflow Mattresses list showing every bedroom with an airflow mattress and pump, with the serial numbers and when it was last checked.

Rules to remember

Sign off after the month ends

Sign-off opens the day after the month finishes.

Never backdate a missing check

Use the acknowledgement route and record your findings instead.

One PIN, one person

PINs are unique. Never share an account.

Emergencies

Fire, gas leak, major flood or injury: call 999 first.

Questions

Why can't I sign off this month yet?+

Monthly sign-off only opens after the month has ended. The box tells you the date it opens. You can still review progress in the meantime.

A department shows outstanding checks. What do I do?+

Tap Copy on that department's list and send it to the team so they can complete what is genuinely missing. Sign off once they have. If a check was never done, use the acknowledgement route and record your findings.

Can I just add the missing checks with an earlier date?+

No. Entries made for an earlier date are flagged and reported to admin, and recording a check as done when it was not can amount to falsification of records. Use the exception route instead.

Why can't I change a repair's status?+

Managers have a view-only view of repairs. The maintenance team updates the status and notes. You can still raise a new repair request.

The app says my PIN is already in use.+

PINs must be unique across the whole system. Choose a different 4-digit number or tap Generate Auto.

A resident has left. What do I do?+

Open View All Residents, find them and tap Remove. The room goes back to vacant and the dashboard counters update.

Who sees my sign-off?+

Regional can see it and countersign it. Both signatures appear in Sign-off history as Both Signed.

What is the difference between Compliance and Monthly Sign-Off?+

Compliance is the live picture for the whole year. Monthly Sign-Off is your formal confirmation for one finished month, using the same counting rules.
